Meeting of January 12, 2012


Those attending were Jenny Nall, Brenda Dutro, Tori Adlfinger, Juliet Lundy, Fred Lundy, Ben Orrell, Linda Orrell, Patsie Smith and Gary Ensign

1.    Treasures Report:

Checking account $8879.32, Raffle account $50.00, Fireworks Fund $2439.20 Scholarship Account $166.49 Hedg $50.01 Moolah Account %50.00

Note will be closing the Moolah Acct containing $50.00 to the checking account. Brenda made motion to close account; Tori second the motion all in favor.

2.    Report from Ben with the economic group:

Main Street project still in the works, issue came up with cost, project still being reviewed.

The economic sub group would like to stay under HIP’s 501c3, and will follow all rules under, Ben read info to be attached in minutes (see attachment)

Jennie stated, that the property purchased by Economic group needs to be put in HIP’s name. Patsy will see what it will cost to do so it is thought to be approximately $26.00.

Camping site on Main Street is being improved for service.

All of main streets buildings are now occupied.

3.    General:

Hugo Economic Development Group:

The Hugo Economic Development Group agreed to purchase the tax lein on the two lots currently owned by Sarah Olson located on the corner of 5th Street and 2nd Avenue in Hugo. Julie Joffe and Patsie Smith fronted the money to purchase these lots, with the agreement that if Hugo Economic Development Group does not repay the money, these lots will be turned back over to Julie Joffe and Patsie Smith. The following expenses have been paid by Julie and Patsie for this property as of September 30, 2011:

   Tax Filing Fee:      $ 26.00

   Tax Lein:               $1321.63

   Treasurers Deed  $ 150.00

Any additional expenses incurred by Patsie and Julie prior to the release of the deed by the Lincoln County Treasurer, i.e. current taxes, clean-up approved by the Hugo Economic Development Group will be reimbursed. All said amounts will be due 90 days after the deed is released to Hugo Economic Development Group or by September 30 2012, which ever date is earlier, or the said property will be titled back over to Julie Joffe and Patsie Smith.

More General:

Both groups meetings will now be listed in the Hugo paper

Ben will continue filing the HIP’s taxes

Brenda, asked about voting members on decisions for projects, how many need to be present, Patsy brought up at least three to decide, Ben asked about our bi-laws, Ben will look up our most resent bi-laws that are on the state web page. Bi-laws need to be revised and a copy available at each meeting. Jennie will e-mail out the Bi-laws

Garry Moore, homebuilder in spec homes talked with Ben and Patsy and gave him a tour around Hugo.

Patsy talked with a woman about a recycling program for Hugo that would allow plastics, cardboard. The issue may be space available and equipment to for the recycling. Will look into location for recycling bins to be accessed by the public.

Gazebo at the railroad park, Brenda is meeting with Terry Gram looking at a 50x20 and talking with Hugo Lumber about material cost.

Home tour and penny machine, money raised will be put into the HEDG fund, Patsy made the motion, Brenda second all in favor.

Holiday Celebration, suggested some time adjustments so everyone can stay busy and be able to see Santa.  Also schedule a little earlier for time to get presents asked by the kids to Santa. Patsy moved to have HIP pay for the craft supplies, white table cover and coins that were handed out by scourge. Motion was seconded and passed.  Total spent was $75.50 and needs to be paid to Jenny Nall. Community building a little crowed for exiting, looking at exiting through the library next year. Over all everyone had good things to say about the program. Will be looking at the dates for next year soon.

Lucas Hohl asked if HIP would buy three wands for lighting the fireworks, cost $134.97. In the past they have not had them. Brenda asked for the motion to purchase, Tori second, all in favor.

Holiday Basket, all families covered and appreciated.

5.    Ranch Rodeo and Fair:

Helen will make the green chili again if we would like

Will form a committee for arrangements, Brenda, Tori and Juliet all agree quesadillas went over well, Fred offered to make chili for topping.

6.    Philanthropy day:

June 20th-22nd in Morgan County, Ben would like to have someone go, it is a day were granters and funders meet with those seeking grants and funds to meet. Juliet also brought up that she has a grants guidebook that HIP could borrow.

HIP awareness:

Look into to ways to promote HIP and advertise programs that HIP is involved in, such as, 4th of July, fall festival and holiday celebration. 

Tori will ask to do an interview with the paper, friendly face.

Website, add pictures of past events and upcoming events announcements.

Juliet suggested sound bites be adding for the pictures on the website. Linda suggested seasonal pictures of Hugo to show off what we have to offer to visitors, the possibilities are endless of the main highway for hiking, biking, and bird watching, fishing and more.

Election of officers:

Patsy made a motion for Jennie to continue as president, Brenda second, all in favor, Brenda for vice president, Ben second all in favor, Tori treasurer, Ben Second all in favor, Juliet secretary, Ben second all in favor.
